Use
this form to report students who are traveling
abroad with a faculty led or supervised group
or who are traveling abroad alone with faculty
supervision. The PDF version is a fillable
form. A paper form may also be requested
from the Office of Study Abroad.

GOVERNING GROUP OR INDIVIDUAL EMPLOYEE ORGANIZED
TRAVEL OUTSIDE THE U.S. |

Since
safety is a prime concern for all who are
involved in study abroad, and since the reduction
of risk and institutional liability is important
to the university, the university put in
effect on January 1, 2003 the following policy
to govern employee led or supervised study
abroad travel activities. Students enrolled
in regular study abroad programs, such as
exchanges, are also subject to this policy,
however there is no employee reporting requirement
since this is handled through other means.
The policy reads as follows:
"All NMSU
main and branch campus faculty members
or other employees who conduct, supervise,
or in some other way facilitate the participation
of NMSU registered students in field
trips, courses, internships, research,
or other activities that involve travel
outside the U.S. are required to submit <the NMSU
Study Abroad Agreement: Resident Student
Travel Programs > form at least 30
days prior to the departure of the students.
They also need to <have participating
students fill out and sign the student
data section of the Agreement>*
so students may comply with pre-departure
requirements for study abroad. <This
form is available in a fillable PDF document
(click link above) or may be obtained
in printed form from the Office of Study
Abroad.>*
This policy will assure that NMSU students traveling outside the U.S.
while registered and earning credit from NMSU will be advised and oriented
consistently as are those who already go on exchanges to earn transfer
credit and are required to complete pre-departure orientation that covers
health, safety, and other issues related to successful student travel
abroad. The policy will also help the university reduce institutional
liability related to endorsing study abroad by NMSU students.” Adopted

When
the Associate Deans approved the travel policy
for students going abroad under employee
supervision, they wanted the Office of Study
Abroad to provide employees with guidance
to help them fulfill their responsibilities
consistently. The Office has prepared a Guide for
Employee Led or Supervised Study Abroad Programs
which covers:
• The Need for Study Abroad
Data Collection • Institutional
and Employee Liability • Student
Orientation Issues: (Disclosures of Terms
of Participation, Emergency Preparedness,
Traveling Out of the U.S., Health and
Safety, Traveling Back to the U.S.). This
guide also has sections that cover specific
issues related to day trips to Mexico
and special advise for employees traveling
abroad. The Guide will be updated periodically
and suggestions for improvement from
those who use it should be sent to the Office.
Employees are also advised to read, and have their students read, the How
to Assess Safety Abroad and the Safety
Incidents Report sections of the Study Abroad web site.
The first section provides advise based on professional practices in
study abroad, and the second section provides statistics on safety and
health experiences of NMSU students since summer 2002.

| EMPLOYEE
TRAVEL INSURANCE POLICY |

While
NMSU students are required to carry NMSU
approved travel insurance when traveling
abroad, NMSU employees are not under any
mandatory policy. However, no employee
should travel outside the U.S. without
at least medical evacuation.
Employees traveling outside the U.S. should first check with Employee
Benefits (646-1741) to determine if they already have American
International Assistance Services coverage (if they elected
to take the Accidental Death and Dismemberment Benefit). This provides
medical evacuation and other insurance assistance for international travel.
Faculty
members may purchase the International Teacher
Identity Card (ITIC) on
line (Office no longer sells ISIC cards).
This provides an acceptable Accident Policy
for trips.
Another acceptable accident policy is provided by the BETA
Program. Students and employees using this program, which provides
6 months of coverage for about $18 and also has additional options for
an additional fee, need to select the university from the school affiliation
drop down
menu on their enrollment form. The policy can be bought on line using
a credit card. Contact Study Abroad if
you want to pay through a departmental account. Disclaimer: Companies other
than those noted above provide acceptable travel insurance and the Office
does not exclusively endorse any specific policy over another.
Faculty and staff members who have NMSU medical benefits may also purchase
the HTH MEDX Plus.
Coverage is limited to emergency medical evacuation and repatriation.
Includes travel assistance. The cost is about $6 per month (and must
be purchased in monthly allotments). There is an age 50 limit on HTH
policies
for
the favorable student prices. |

ROLES IN STUDY ABROAD |

NMSU
faculty and staff members play a vital role
in Study Abroad. Faculty members serve as
advisers, write letters of reference, propose
new program options, conduct field trips
or teach courses abroad, serve on scholarship
selection committees, and supervise or organize
student research, field studies, internships
and other educational activities outside
the U.S. Staff members assist with advising,
admissions, financial aid disbursement, housing,
food service, and other matters for both
outbound and inbound study abroad students.
Faculty and staff members have been instrumental
since the early 1990s in implementing the
Office’s strategy for
developing study abroad programs and increasing
the enrollment of students going abroad. STUDY
ABROAD AT NMSU HAS WITNESSED PHENOMENAL GROWTH
AND IMPROVEMENT SINCE 1997, AND THIS HAS
BEEN ACCOMPLISHED BECAUSE OF THE COOPERATION
OF MANY FACULTY AND STAFF MEMBERS ACROSS
THE CAMPUS.

ways the Office of Study Abroad can help faculty
and staff members are:
• Review and assist in the development of new exchange agreements.
• Speak to classes about study abroad options.
• Help with the development and support of faculty led study abroad programs.
• Provide information of International
Fellowships and other funding opportunities through a listserv subscriber
service
The Office of Study Abroad promotes study abroad programs across the campus.
We are willing to do presentations to classes upon request. Faculty members
may contact the Study Abroad
Promotions Student Aide to request a staff member or student
to do a presentation to their class or classes. Presentations vary from
10 minutes to 50 minutes depending on the time allocated by the instructor.
